In the jewellery industry, every detail matters. A job may begin with a minor repair or a bespoke piece that passes through several stages before it returns to the customer. Our client works at this pace across multiple locations, handling a high volume of orders and several models of craftsperson collaboration — all of which demand well-organised processes.
For years, the company relied on several separate tools. Each supported one part of the workflow, but none covered it end to end. Employees had to switch between unintuitive systems, while subscription costs continued to rise. The natural next step was a single flexible platform that would bring every process together and evolve around the way the business actually operates.
We therefore designed and built a custom CRM from the ground up — one that reflects the company’s real needs, supports its daily work and can grow with the organisation.
The business needed to manage customer service as well as work assigned to in-house craftspeople and external contractors. These models involve different costs, deadlines and responsibilities, yet no off-the-shelf platform could separate and manage them conveniently in one place.
The company needed a coherent, flexible order workflow that matched its actual operations: who performs each job, how long it takes, what it costs, where delays occur and which stages can be improved.
The new system also had to provide better visibility of progress and performance, support contractor settlements and turn operational data into useful management insight. A fully bespoke solution gave us the freedom to design these capabilities without the limitations of ready-made software.
Before development began, we took time to understand how the company works in both its retail locations and workshop. We mapped every stage — from accepting a piece of jewellery to completing the final settlement — so that the system would reflect the team’s daily workflow accurately.
Together with the client, we analysed the most common order types, the information required for repairs, how work is assigned to craftspeople and when external contractors enter the process. This allowed us to design an architecture that supports standard jobs as well as complex orders involving multiple stages, people and detailed documentation.
We defined a modular structure covering orders, customers, finance, craftspeople, locations, reports and system settings. Each module can work independently while remaining fully integrated with the wider platform, making the CRM intuitive today and easy to extend in future.
Once the processes were mapped, we designed the interface. It needed to be functional and genuinely comfortable to use, with minimal clicking and no need to search across several screens. Employees work in different settings: some accept orders in retail locations, others complete work in the workshop, while managers oversee operations from the office. The interface had to serve each of these perspectives and make transitions between order stages effortless.
We focused on making frequent actions fast and intuitive. Adding a customer, creating an order, assigning a craftsperson or recording a payment takes only a few seconds. Key information is visible immediately, and the system guides users naturally through each stage, reducing the risk of mistakes.

Statuses, products, payments, work history, attachments and assigned craftspeople are all available in one clearly organised view. Employees can see the current stage of an order at a glance and take the next action without searching elsewhere.
The result is a clear, straightforward interface designed around the real pace and working methods of the company.
Flexibility was one of the project’s most important requirements. In jewellery, every order category may need different fields, product parameters and documentation. The client needed a platform that could accommodate these differences and evolve alongside the company’s offer.
We created a formats module that lets administrators define their own product structures. They can add custom fields and selection lists, create formats for different service categories and adapt them to the team’s workflow. The system can therefore grow with the business without requiring developer involvement for every change.
This approach has streamlined processes, accelerated order handling and maintained consistent data even as new services and categories are introduced. The flexibility requested by the client became one of the platform’s core strengths.
Orders sit at the heart of the CRM, so we designed the module to cover the complete lifecycle — from the first customer interaction to final settlement and collection. The process is transparent, organised and guides staff step by step, regardless of an order’s complexity.
A single order can contain multiple products, assigned craftspeople, deadlines, payments, notes and attachments. From the order view, staff can move directly to customer details, payment history or workflow information without leaving the page.
We also distinguished between work completed by internal craftspeople and external contractors. This makes it easier to track costs, monitor progress and settle contractor fees. Clear statuses show whether an order has been accepted, is in progress or is ready for collection.
The resulting module brings the entire process together and reduces administrative effort, allowing the team to focus on the work itself instead of managing disconnected tools.

The system supports a business operating across multiple locations. Each branch can work at its own pace while all information remains consistent and organised within one platform.
Administrators can add locations, assign employees, filter orders by branch and monitor workload across the network. Current orders, craftsperson activity and financial performance are always available in one place, making the business easier to manage as it grows.
Organising settlements was another key objective. Previously, information about deposits, advance payments and contractor costs was spread across several tools. In the new CRM, all financial data is available directly from the order view and updated as part of the normal workflow.
The system automatically totals each order, records payments, shows outstanding balances and supports settlements with both internal staff and external contractors. For the team, financial control is now simpler and far more transparent.

A reporting module completes the financial workflow. Built for the management team, it analyses craftsperson workload, order values, delivery costs and throughput at each location. Reports can be filtered and exported, providing current data for planning, settlements and day-to-day operational decisions.
We built the system in Laravel, a stable and flexible framework well suited to bespoke business applications. The resulting CRM is fast, secure and straightforward to extend.
The custom application also replaced several paid tools previously used by the company. Consolidating every process in one platform and using efficient, appropriately sized hosting reduced annual running costs to approximately PLN 700 — a tangible saving compared with the previous subscription-based setup.
The CRM has brought structure to the entire organisation. Orders, craftspeople, payments, locations and reports now work together in one place, significantly accelerating day-to-day service. The team has a clear, current view of what is happening across the business.
For management, separating internal work from external contractor jobs has improved settlements and cost control. Reporting adds further value by making it easy to assess results, monitor workload and base decisions on real operational data rather than intuition.
The CRM has therefore done more than replace several disconnected tools: it has introduced a level of consistency and control that would have been difficult to achieve without a fully bespoke platform.
